Terms & Conditions of the AMC

The RFP outlines detailed terms and conditions governing the AMC contract, including:

• Bid Submission: Sealed bids must be submitted by the deadline. Late submissions will not be accepted.
• Bid Opening: Bids will be opened publicly on the specified date and time.
• Clarification of Bids: The ZSI reserves the right to request clarification from bidders during evaluation.
• Rejection of Bids: Canvassing, unsolicited letters, and post-tender corrections may lead to bid rejection. Conditional tenders will also be rejected.
• Validity of Bids: Bids must remain valid for 90 days from the last submission date.
• Earnest Money Deposit: Bidders must submit an EMD of Rs. 10,000/- along with their bids.
• Eligibility Criteria: Bidders must meet specific criteria, including GST registration, experience in AMC services for government organizations, and not being blacklisted by any government department.
• Price Quotation: Prices quoted should be inclusive of all taxes.
• Performance Guarantee: The successful bidder's EMD will be converted into a Performance Guarantee.
• Liquidated Damages: Penalties may be applied for delays in service delivery.
• Payment Terms: Payment will be made on a half-yearly basis based on invoice and past performance.
• Lowest Bid: The lowest price for each line item quoted by a technically qualified bidder will be considered.
• Right to Reject Quotations: The Director of the Zoological Survey of India reserves the right to reject any or all quotations.

AMC Services

The AMC services will be provided in two ways:

• Preventive Maintenance: The service provider will conduct at least four preventive maintenance visits per year, including functional checkups and minor adjustments.
• Breakdown Maintenance: In case of equipment breakdown, the service provider must respond within 24 hours and restore the equipment to service.

The service provider must ensure 95% serviceability per year with a maximum downtime of 20 days. The maximum repair turnaround time for each equipment/system should be 2 days. The service provider is responsible for providing all necessary technical documentation.

Replacement of Parts

Spares required for maintenance are part of the AMC and will be provided free of cost.

Working Hours

Maintenance work will generally be carried out during regular working hours. In emergencies, work may be conducted outside of office hours and on holidays, with prior arrangement.
